HARDINGTON AND PENDOMER WI
MINUTES OF THE ANNUAL MEETING HELD ON
12th NOVEMBER 2008 AT 7.45PM
Present: 25 members and one new member
The meeting was chaired by Fiona Chadwick, who welcomed everyone to the meeting.
Minutes of 2007 AGM – were available for members to read signed as correct by Fiona.
Matters Arising – None
New Committee – President Fiona Chadwick is stepping down but all other committee members are prepared to stand for another year. Liz Brown was persuaded to re-join the committee and as there were no other volunteers to stand for the committee, no election was necessary.
Jenny Dodd will be taking over as the new President.
Responsibilities will be as follows:

- Secretary:Rachel Moulden
- Treasurer:Sally Norris
Other roles will be decided at the next committee meeting.
Appointment of Independent Financial Examiner – Sally Norris, Treasurer, reported that we had used Hilary Miller, a WI official auditor, for our accounts again this year. She had approved the accounts. Sally proposed that we continue to use a WI auditor for the coming year and hopefully we would have Hilary Miller again as we are allowed to use the sam auditor for a maximum of three years running. The members agreed.
Financial Statement – Copies of this were available for members to see. Sally reported that we have 44 full members and 2 dual members thus providing us with an income of £469.70 after deductions for SCFWI and NFWI. Next year’s subscriptions have been set at £29.00, a rise of £2.00, which will allow us an extra £0.87 per member. Our total outgoings for the year were £4,276.94 and were £200.00 more than our income of £4,076.41. This is not a problem as Sally’s aim is to have at least one year’s running costs (£500.00) in the bank and at present we have just under two years. The process of claiming Gift Aid from subscriptions has been started and more information will follow. On a positive note we won £25.00 at the 200 Club draw at the Autumn Council Meeting.
Sally then proposed the adoption of the Financial Statement which was seconded by Sue Phillips.
The Committee’s Annual Report – Jenny Dodd gave the committee’s annual report which showed a busy and interesting year. Our membership is 46 which includes 2 dual members.
On average 30 members attended the monthly meetings although it is noticeable that since April the average has dropped to 25 members! Members had taken part in many events both within WI and in the village. We had been disappointed that our entry for the WI of the Year Portfolio had not been chosen to represent Somerset but gratified at the number of favourable comments heard about it at the Autumn Council Meeting where it was on display. Well done to Elaine Gilmore, Sally Norris and Jenny Dodd for all their hard work!
Finally, Jenny paid tribute to our retiring president, Fiona Chadwick. Fiona had been an enthusiastic leader who had worked tirelessly on our behalf. She had gained a reputation at Wilton Lodge as a force to be reckoned with when standing up for the rights of our WI. The committee wanted acknowledge her successful leadership at the helm – not always an easy task presiding over a diverse group of strong personalities. It had all been in good spirits and we’re all still here! The committee invited the members to join them in expressing appreciation for her dedication and hard work over the last 3 years.
A bouquet was presented to Fiona in appreciation.
President’s Address – this was given by Fiona Chadwick, who warmly thanked her committee for all their work and support over the past year. She had a busy but enjoyable year and had attended many events in both our group and County.

- Audrey Marsh and Joan Whiteman for doing the birthday posies each month
- Liz Brown for the monthly president’s flowers
- Daphne Creed for her help with selling tickets etc.
- Elaine Gilmore, Sally Norris & Jenny Dodd who prepared our wonderful portfolio
- Amy Knight for looking after the book stall
- Val Radford for running the Flower of the Month competion
- Kate Curtis for running the raffle
- Val Radford and Joan Whiteman – Skittles Captains
- Brenda Bickerton for Photographic records of our WI events
Bouquets were presented to Daphne Creed for her behind the scenes help and to Audrey Marsh who was relinquishing the job of making the birthday posies, which she has done for many years. Vivien Cherry had kindly agreed to take on this job with Joan Whiteman.
Fiona thanked all the members without whom we would not have a Hardington & Pendomer WI. The adoption of the Annual report was proposed by Fiona Chadwick and unanimously accepted by a show of hands from the members.
Presentations
The competition Cup for Flower of the Month was won by Rosemary Richards. This year a £5.00 garden voucher was also presented. It was hoped that this would encourage more members to enter the flower of the Month competition.
The meeting was closed by Fiona Chadwick and members were invited to partake of refreshments.
